Who We Are

PassportPhotosAI is operated by KudoMetrics LLC, a limited liability company registered in Wyoming, USA. KudoMetrics LLC is the controller of the personal information described in this policy.

PassportPhotosAI is built around a simple principle: your photo is processed only to check its compliance with passport and visa requirements — it is never used for anything else, and it is never shared. This policy explains what information we collect, how we use it, and the choices you have.

Information We Collect

Photos You Upload

When you upload a photo to check its compliance, PassportPhotosAI processes the image to measure size, head position, background, lighting, and other requirements for your selected document and country.

If you start on this website and continue into the editor, the photo is held briefly to hand it over, and that temporary copy is deleted automatically after 15 minutes. Once a photo has been checked, the original you uploaded and the prepared version are stored against your order so you can come back to it — including if you do not complete a purchase. Account and Order Information

If you make a purchase, we collect the information needed to process payment and deliver your download — your email address, and the order details. Payment is processed by Stripe, and PassportPhotosAI never sees or stores your card details: they are entered on Stripe’s own checkout page.

Usage Information

If you accept analytics cookies, we collect basic technical information — browser type, device type, and pages visited — to understand how the site is used. We use PostHog for product analytics and Google Analytics 4 (via Google Tag Manager) for site analytics, and a Meta Pixel for advertising measurement. None of them load unless you accept.

Our PostHog setup is deliberately narrow: session recording is off, automatic click capture is off, no user profiles are created, and order identifiers and email addresses are stripped out of every event before it is sent.

Cookies

Two cookies are strictly necessary and are always set: ppai_session keeps you signed in when you retrieve a photo you have bought, and ppai_cookie_consent records the choice you made about the others.

Analytics and advertising cookies — PostHog, Google, and Meta — are set only if you accept them in the banner shown on your first visit. If you decline, or simply never choose, none of those scripts load at all. You can withdraw or change your consent at any time using the Cookie settings link in the site footer.

How We Use Your Photo

Your photo is used only to:

  • Analyze it against the published requirements for the country and document you select
  • Generate the compliant, cropped, and (where permitted) background-adjusted version you can preview and download
  • Show you the results of the compliance check

Your photo is never used to train AI models, never shared with third parties for marketing purposes, and never used for any purpose beyond delivering the check and download you requested.

How Long We Keep Your Photo

If you complete a purchase, we retain your original and processed photo for 30 days so you can sign in and re-download it during that time. After 30 days, both are automatically deleted.

If you do not complete a purchase, your uploaded photo is not retained: it is deleted automatically within 24 hours, which is the window needed to carry a photo through checkout and to send you a reminder if you left without finishing.

The temporary copy used to move a photo from this website into the editor is deleted after 15 minutes.

If you would like your photo deleted sooner, you can request this at any time by contacting support@passportphotosai.com.

Legal Basis for Processing

We process your personal information on the following legal bases:

  • Contract — to perform our contract with you when you purchase and download a photo.
  • Consent — for analytics cookies and for the processing of biometric data derived from your photo (see below).
  • Legitimate interests — to operate, secure, and improve the Service.

Where we rely on your consent, you may withdraw it at any time; this does not affect the lawfulness of processing carried out before you withdrew it.

Who We Share Information With

We do not sell your personal information or your photos. We work with a small number of service providers who help us operate PassportPhotosAI:

  • Stripe — payment processing
  • DigitalOcean — server hosting, where your photo is processed and stored
  • Cloudflare — content delivery and protection for the site
  • Zoho Mail and Brevo — email: our support mailbox, and sending your receipt and sign-in codes
  • Google Sign-In — only if you choose to sign in that way
  • A dedicated GPU machine we operate — background removal for UK documents only. US passport and visa photos are never sent to it, because US rules require the original background and we therefore never replace it.
  • Google Analytics (via Google Tag Manager), PostHog and Meta — analytics and advertising, and only if you accept cookies

These providers only receive the information needed to perform their specific function and are not permitted to use it for any other purpose.

We may also disclose information if required by law, or to protect the rights, safety, or property of PassportPhotosAI or others.

Your Photo May Contain Biometric Data

Because a passport or visa photo is used to verify identity, measurements derived from it (such as head position and facial proportions) may be considered biometric data under some privacy laws, including the EU/UK GDPR and certain US state laws such as the Illinois Biometric Information Privacy Act. We process this data solely to perform the compliance check you requested, and for no other purpose. We do not use it to identify you, and we do not build a face template that could be used to recognise you elsewhere. By uploading your photo, you give your explicit consent to this processing of your biometric data. You may withdraw this consent at any time by contacting support@passportphotosai.com, in which case your photo and its derived measurements will be deleted.

Your Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Request that we delete your photo or personal information
  • Request a copy of your information in a portable format
  • Object to certain uses of your information

Children's Privacy

PassportPhotosAI is not directed at children. If a photo is being prepared for a child’s passport or visa application, it should be uploaded by a parent or legal guardian on the child’s behalf.

International Users

PassportPhotosAI serves people applying for US and UK passport and visa photos, which may mean your information is processed in a country other than the one you live in. Our hosting infrastructure and the third-party providers listed above are located in, or may route data through, the United States and other jurisdictions. If you are in the European Economic Area, the UK, or another region with data-transfer requirements, your personal data may be transferred to countries that do not have an adequacy decision; we rely on appropriate safeguards, such as EU Standard Contractual Clauses and the UK International Data Transfer Addendum, to protect those transfers.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make significant changes, we’ll post a notice on this page. Continuing to use PassportPhotosAI after changes take effect means you accept the updated policy.
